Some ideas for things to include in the Grants/Scholarships section:

  • If the event is arranging lodging for scholarship recepients, inform them whether the hotel will request a deposit, the required amount, and the accepted payment methods (card, debit, cash, etc.). Offer an alternative for those who are unable to comply with this requirement.
  • Include visa as part of eligible costs
  • In some countries, invitation letters for visas need to be authenticated at a notary office. Budget accordingly.

Additionally, definitely do not charge participants extra fees for visa invitation letters.

  • Inform people in advance about the payment options for reimbursements (wire transfer, paypal, wise, etc.)

There is discussion going on related to this issue, and I don't think we are ready for any new text at this point. Additionally, your PR has lots of changes unrelated to this issue, which makes it hard to understand.
